How to Qualify a Wholesale Food Supplier: A Buyer's Checklist

A practical checklist for vetting wholesale food suppliers before you order — company registration, food-safety certifications, product specs, Incoterms, and sampling.

Sourcing wholesale food is a trust business. Before a single case ships, a professional buyer needs confidence that the supplier is real, compliant, and able to deliver the exact product that was quoted. Here is a practical checklist we use at Sentrick Foods to qualify suppliers before anything is listed to buyers.

1. Verify the company is real and registered

Ask for the legal company name, country of registration, and a business registration or license number. Cross-check the website, domain age, and a verifiable business address. A supplier that cannot show basic registration is a red flag.

2. Check the food-safety certifications that apply

Different products require different evidence. Common ones include FDA facility registration (for the U.S.), HACCP, ISO 22000, BRCGS or SQF, and Organic (USDA/NOP or EU) where relevant. Ask for current certificates and confirm the expiry dates — expired evidence is the same as no evidence.

3. Pin down the exact product specification

"Olive oil" is not a spec. Capture variety/grade, acidity or quality parameters, packaging formats and sizes, shelf life, country of origin, and the HS code. A clear spec protects both sides and prevents disputes later.

4. Confirm commercial terms in writing

Get the wholesale price per unit and size, the minimum order quantity (MOQ), lead time, and the Incoterm (EXW, FOB, or CIF). Terms that are vague at the quote stage become expensive surprises at delivery.

5. Sample before you scale

Where possible, order a sample or a small first lot and check it against the agreed specification. A supplier confident in their product will welcome it.

6. Keep everything on record
